Role Description: The OM will be responsible for organisational efficiency of the company, managing all aspects of the organisations HR, IT,Finance, Warehousing and Inventory Management, Service departments and Retail Store, helping and creating organisational plans and program budgets, and setting and overseeing productivity goals with all departments in collaboration with the MD and other misc. tasks. Working with the management team, the position contributes to the development and implementation of organisational strategies, policies and practices. Duties/Areas of Responsibility: Improve the operational systems, processes and policies in support of organisations mission -- specifically, support better management reporting, information flow and management, business process and organisational planning with regards to timelines and deadlines Manage and increase the effectiveness and efficiency of Support Services (HR, IT and Finance), through improvements to each function as well as coordination and communication between support and business functions. Play a significant role in long-term planning, including an initiative geared toward operational excellence. Oversee overall financial management, planning, systems and controls. Control invoicing to funding sources, including calculation of completed units of service. Payroll management, including tabulation of accrued employee benefits. Supervise and coach supervisory staff on a daily basis. Responsibilities by Function Financial Management Direct annual budgeting and planning process for the organisations annual budget with MD Oversee monthly and quarterly assessments and forecasts of organisations financial performance against budget, financial and operational goals. Oversee short and long-term financial and managerial reporting. Managing day to day processing of accounts receivable and payable using Peachtree, producing reports as requested. Reconciling monthly activity, generating year-end reports, and fulfilling tax related requirements. Assisting Managing Director in creating annual organisational budget and monitoring cash flow. Prepare annual audit and be a liaison with all outside vendors. Organizational Effectiveness Increase the effectiveness and efficiency of Support Services through improvements to each function (HR, IT, Finance) as well as coordination and communication between functions. Drive initiatives in the management team and organisationally that contribute to long-term operational excellence. Customer Service Oversee and improve customer relationships Handle (and prevent) customer escalations Assist in expanding customer base Sales & Marketing Oversee the Development and execution of marketing plans to increase retail sales. - Hiring: Project Assistant
Role Description: This is a full-time on-site role for a Project Assistant at Caribbean Water Treatment Ltd. The Project Assistant will be responsible for coordinating and tracking project deliverables, assisting with project scheduling, maintaining project files and documentation, conducting research, and communicating with project stakeholders. Duties/Areas of Responsibility: Requesting vendor quotes for special projects and following up on project orders from placement to delivery as instructed by the project manager. Assist with project costing and tracking. Assist with the preparation of and follow-up on job proposals and quotes. Updating of projects and related documentation. Make travel arrangements for project staff. Scheduling of training for different staff. Scheduling service visits and monitoring schedule adherence of technicians. Timely and accurate report on status and time spent on jobs assigned. Attend company meetings as required. Monitor the company e-mail and respond appropriately. Adhere to company policies and procedures. Advise on improvements that benefit the company in whatever area. Qualifications: Strong organizational and project coordination skills. Proficient in Microsoft Office Suite and project management software. Ability to prioritize tasks and meet deadlines. Excellent communication skills, both verbal and written. Attention to detail and problem-solving skills. Experience in the water treatment industry is preferred, but not required. Good working knowledge of Sage Accounting, Goformz, or similar tools.
